Welcome to Beavers Bend Hamptons of Hochatown Vacation Rentals, LLC
Below are our rules and policies for renting a cabin.
BOOKING PAYMENT / INFORMATION
~Upon booking, we require a 20% non-refundable deposit to secure your reservation. This payment is applied toward the balance of your entire stay. If you are more than 14 days from arrival, you will pay the 20% toward your reservation, and the remaining balance is due 14 days before arrival. If you book within 14 days of arrival, the entire balance is due upon booking.
~We do not allow arrivals or departures on the following holidays: New Year's Day, 4th of July, Thanksgiving Day, and Christmas Day. You must arrive/depart the day before or day after these holidays. We do this so all employees can spend the day with their families.
~We allow departures only, no arrivals, on the following holidays: Martin Luther King Day, President's Day, Easter Day, Mother's Day, Memorial Day, Father's Day, Labor Day, Colombus/Indigenous People's Day, and Veteran's Day.
~You must be at least 21 years old to rent a cabin (we do make exceptions for married/engaged couples.) We do not allow events or weddings at our properties.
INFORMATION REQUIRED
~Before your reservation is confirmed, you will be asked to complete a rental agreement, which states the items listed on this page. You will also be asked to upload a copy of a valid ID or Driver's License. We ask that anyone making a payment on this reservation also submit a copy of their ID. If additional payments are made from anyone other than the person on the reservation or who made the initial payment, please email us a copy of your ID to reservations@hamptonsofhochatown.com with a note stating the reservation ID or name the reservation is under. You will not receive important information like your directions and door code until we receive a signed rental agreement and ID's for the person on the reservation and any person(s) who made a payment, if the person is different than the one on the reservation. ID's are required for every person that makes a payment toward the reservation.
CANCELLATIONS / CHANGES
~If you are more than 14 days from arrival, we will allow you to change the dates you have booked or change the cabin you have booked. The change must be within the same calendar year. We will make an exception if you have dates booked the last 2 months of the year and there is nothing available for you to move your reservation to. Any reservation that is moved must be used within 18 months of the initial booking date. If it is not used within that time frame, the reservation can be cancelled by the property manager and no refunds given. You are allowed up to 2 changes to your reservation and then subsequent changes are subject to a fee for each change.
~If you decide to cancel your reservation rather than move it, the deposit is non-refundable for any reason. Any amount you paid over the deposit amount can be refunded if it is more than 14 days from your date of arrival.
~If you are 14 days or less from arrival, you cannot make any changes to your reservation and the full balance is due and non-refundable.
~Upon booking, travel insurance will be offered. We recommend getting the travel insurance as a safeguard against having to cancel your reservation. This travel insurance is separate from our company and paid to an outside vendor as a separate transaction.
~If you wish to make a cancellation, we ask that you provide written communication such as an email stating you would like to cancel your reservation in addition to verbally telling us to cancel if you called our office. Weather or other factors beyond our control are not valid reasons for a cancellation.
~We reserve the right to cancel a reservation if we suspect foul play, a party being planned, intent to break our rules, or other factors upon our discretion. In rare cases of a double booking, we will try to find you alternate accommodations at a cabin of equal or greater value. If that cannot be done, we will provide a refund. In cases where there is a system glitch causing an incorrect rate, minimum night stay not being met, or arrival or departure date not allowed by our company, we will offer you to change dates, pay the difference if a rate is incorrect, or allow a cancellation if a satisfactory agreement cannot be reached between both parties.
SMOKING AND ILLEGAL DRUGS
~All cabins are non-smoking inside and within 15 feet of open doors and windows. This includes cigarettes, vaping, and any type of drug. If evidence of smoking is found inside, there is a $500 fine. We provide butt pails outside, please do not throw the butts on the ground. We do not allow illegal drugs on our properties. If any evidence of illegal drugs are found, we will report it to the local authorities with your contact information. Please note, in Oklahoma recreational marijuana use is still illegal.
FIREWORKS
~Fireworks are strictly prohibited at all times. If you shoot fireworks, you will be asked to leave your cabin without a refund and you could incur fines from the local authorities. The cabins are in heavily wooded areas and surrounded by a State Park and National Forest. Please do not risk your safety or the safety of others.
GRILLS
~Instructions for using your grill are posted by the grill. All grills are propane. Never use a lighter to light a propane grill. This can cause severe injury or death to yourself or others. Propane is provided for the grills.
HOT TUBS
~We drain and sanitize all hot tubs upon departure. These chemicals can damage furniture, so we ask you do not sit on any furniture or bedding with wet swimsuits. All hot tubs are set at 101 degrees or higher for your arrival. If your cabin was a turn-around, the hot tub may not be fully heated upon your arrival. It will take it 2-3 hours after your arrival to get to optimal temperature. We ask that children under 12 do not get in the hot tub. Younger children have more sensitive skin, and the chemicals used could irritate their skin. Children under 18 must be supervised at all times by an adult 18 years or older. Do not use oils, lotions, bubbles, or similar items in the hot tub. It can damage the valves and repairs for misuse will be charged to the card on file. Do not sit or stand on the hot tub covers. They start around $500 each and can cost up to $2000. If you leave a lid damaged, you will be charged the cost or repairs or replacement if it cannot be repaired.
FIREPLACES
~Most fireplaces are gas and the pilot is lit before your arrival. Do not put real wood or paper in gas fireplaces. Please do not move the logs because damages can occur. Do not roast S’mores or cook over the gas logs as it can damage them. These logs are costly and if they are damaged due to misuse, we will charge the repair or replacement to the card on file. Fireplaces are shut off May 1st – October 1st and inoperable during this time.
RV’S, CAMPERS, AND TENTS
~We do not allow RV’s, campers, or tents to be used at the cabins. If you arrive in an RV and that is your only mode of transportation, it cannot be hooked up to any of the facilities at the cabin.
PARTIES AND EVENTS
~We do not allow parties or events at our cabins. Small family gatherings are acceptable, we just ask that the number of guests staying at the cabin does not go over the occupancy of the cabin.
NOISE
~Quiet hours for the area are 11:00pm – 6:00am. We do ask that you are respectful of other guests around when playing music and try to refrain from screaming or shouting. We want everyone to have a great time, but please keep others in mind while you enjoy your stay. If we get a noise complaint, we will notify you and ask you to be more courteous. If the noise complaints continue, we will ask you to leave your cabin without any refunds for any remaining days.
INTERNET AND POWER
~We provide all cabins with free WiFi, however, we are not responsible for slow service, delays, or outages. We will do our best to troubleshoot the issue and contact the provider as soon as possible if a problem does arise. These cabins are located in remote areas and the signals will sometimes vary. The use of the Internet is not for obscene or inappropriate behavior. Loss of Internet signal is not a reason for a refund.
~Loss of electricity can happen sometimes and is completely out of our control. Please be patient if this occurs, the power company is usually very quick to get power restored. If there is an outage, please call Choctaw Electric at 800-780-6486 and give them the address of the cabin (located on the front of the manual.) Loss of power is not a reason for refunds.
CLEANING
~There is a 1-time cleaning fee charged to every reservation that covers the inside and outside of each cabin. You are responsible for cleaning during your stay and leaving the cabin in good condition upon check out. If you leave the cabin in a condition that causes extra time, additional fees may be charged to the card on file. There is an automatic $100 fine for bodily fluids, including but not limited to feces, urine, blood, and vomit. This fee is paid to the cleaning crew for dealing with hazardous waste. Leaving excessive trash, food out, or dirty dishes piled up may incur additional charges depending on the severity. Damages are assessed on a case-by-case basis. We will leave a check out list and if it is followed, there shouldn’t be any issues. We ask that you respect the home like your own and leave it close to the condition you found it.
~Should you find anything unsatisfactory about your cabin or that needs attention upon arrival, please report it to guest services immediately. We ask that you take pictures of any issues and include them with your communication. We also take pictures after cleaning and inspecting each cabin.
DAMAGES AND MISSING ITEMS
~Each guest pays a damage waiver fee of $50. This fee is non-refundable. It covers ACCIDENTAL damages up to $500. It does not cover damages due to misuse, partying, reckless behavior, disrespecting the property, or floor scratches resulting from moving furniture. All cabins are inventoried and pictures are taken with the date and time stamped before your arrival. If items are missing or broken, they will be charged to the card on file.
ITEMS LEFT BEHIND
~We ask that you thoroughly check your cabin and make sure you have all your belongings prior to departure. If items are left behind, they can be returned for a flat fee of $25 or the cost of the item, whichever is greater. If items are found, we give you the option to have them returned or discard them. After 30 days, items are donated or discarded. Please note we cannot return firearms by mail; they will have to be picked up in person.
